Purchasing Coordinator A food-related trading company is seeking a Purchasing Coordinator to manage purchasing activities, inventory records, vendor communication, and sales support. Salary $45,000–$54,000 per year Based on experience and qualifications Key Responsibilities Purchasing and Inventory Management — 80% Coordinate the local purchasing of frozen and dry food products, supplies, and non-food items Develop and maintain positive relationships with vendors Negotiate pricing and coordinate transportation and delivery schedules Support product development and quality assurance activities Create and manage purchase orders based on sales volume and inventory levels Maintain accurate inventory, pricing, receiving, and sales data in the company’s ERP system Review and process receipts and invoices for payment Calculate product costs, pricing, and profit margins Communicate with trucking companies and vendors to ensure timely delivery Work with warehouse staff to confirm product quantity, quality, location, and proper receiving Review inventory regularly and resolve discrepancies with the warehouse team Help ensure food products comply with applicable FDA, USDA, HACCP, and food safety requirements Create promotional flyers and product catalogs Coordinate semiannual inventory counts, which may occasionally take place on weekends Attend company events or functions outside regular business hours as needed Perform other purchasing-related duties as assigned Office and Sales Support — 20% Answer incoming phone calls Report inventory shortages, delays, or service issues to the appropriate team member Work with the sales team to monitor open purchase orders and ensure timely completion Prepare and update monthly sales reports and related materials Qualifications High school diploma or equivalent required Bachelor’s degree in business or a related field preferred At least 2 years of relevant purchasing, inventory, or supply chain experience Food industry experience preferred Business-level English skills in speaking, listening, reading, and writing Business-level Japanese preferred Advanced Microsoft Office skills, especially Excel Experience using ERP or inventory management systems preferred Strong mathematical skills, including profit margin, markup, discount, measurement conversion, and inventory calculations Excellent organizational and time-management skills Strong attention to detail Effective communication, customer service, and problem-solving skills Ability to work independently and as part of a team Ability to manage changing priorities and workloads Knowledge of Japanese food products, sake, or Japanese culture preferred Physical and Work Requirements Ability to sit and use a computer for extended periods Ability to walk, stand, reach, bend, kneel, and occasionally lift or move up to 50 pounds Office noise levels may range from normal to loud Availability to work occasional weekends or attend events outside regular business hours Ideal Candidate The ideal candidate is organized, detail-oriented, and comfortable working with vendors, warehouse staff, sales teams, and transportation providers.
